As an Operations Coordinator, your primary role is to help and support our community of more than 70 employees. You are a central figure in the office where our Enrolment, EF and Ashridge teams are based. You execute office-wide processes flawlessly, while maintaining high productivity and a level-headed attitude in stressful situations. This role requires constant interaction with all Hult and EF/Ashridge stakeholders: staff, customers, suppliers, partners and more. You will gain extensive knowledge of Hult’s campuses, processes and functions, enabling you to provide the best possible service to these groups and identify opportunities to improve our existing offerings. Our Operations Coordinator is responsible for fostering our culture by supporting the enrollment teams. We know that every interaction, email and act of kindness matters, no matter how big or small. The ability to work independently to lead your own projects, while communicating within a highly collaborative team and maintaining a friendly, positive attitude at all times is critical.

Responsibilities

Responsibilities and specific duties include, but are not limited to:

  • Collaborate with team leaders, managers and department heads to assess and address department needs and goals
  • Identifying and solving problems in the operational process
  • Manage shared inboxes, update candidate data and forward questions to the right employees
  • Fulfill and schedule courier packages to candidates and agents
  • Managing the team’s event calendar, logistics and planning
  • Assist employees in scheduling/rescheduling guest visits and approving visitor requests
  • Maintaining clear operational and health and safety guides to ensure operational consistency
  • Planning and organizing office events, workshops and parties
  • Manage daily office requests from Hult and EF / Ashridge staff as general office Q&A, room bookings and gathering staff feedback
  • Proactively find new ways to innovate and streamline operations and facilities management
  • Special projects on request.

Values ​​and Skills

  • Bachelor’s degree
  • Have at least 1-2 years of full-time work experience in organizational, operational or logistics functions
  • Be proficient in Word, Excel, PowerPoint
  • Excellent oral and written communication skills, in daily dealings with staff, both junior and senior
  • High attention to detail
  • Good project management skills, exceptionally well organised
  • Good at problem solving and a “nothing is impossible” attitude
  • Independent thinker, able to use his/her/their own initiative, prioritize and work to tight deadlines
  • Proven track record in administration is preferred
  • Fluent level of written and spoken English
  • Flexible working attitude and able to keep calm in a fast paced environment
  • An energetic and enthusiastic individual who thrives under pressure, is able to use own initiative, prioritize tasks and work to tight deadlines
  • Personal, persuasive and a strong influencer, with the ability to cultivate and nurture relationships
